Privacy Policy

What we collect

• Account information — name, email, password (stored only as a salted hash), and role.
• License information — for technicians: license type, number, expiry date, and a photo of the license card. This is collected so a company admin can verify eligibility to perform field work.
• Insurance information — for companies: carrier, policy number, coverage, expiry, and an optional certificate document.
• Work records — properties, inspections, zones, controllers and programming, photos, repair estimates and approvals, invoices, and backflow test records.
• Issue reports — including reports submitted without an account by scanning an on-site QR code, which may include a reporter’s name and contact details if they choose to provide them.
• Technical data — standard server logs needed to operate and secure the Service.

How we use it

To operate the Service: to show a property’s history to the company servicing it, generate reports and briefings, route approvals, process payments, and send notifications. We do not sell personal information, and we do not use your work records to advertise to you.

AI processing

Inspection report narratives and technician briefings are generated using a third-party AI provider (Anthropic). Relevant inspection details are sent to that provider to produce the text. All figures, tables and findings are computed by our own code, not by the AI. Do not enter information you are not comfortable processing this way.

Who else sees your data

• Within your company — your admins and approved technicians.
• Your customers — only where you grant portal access, and only a client-safe view of their own property (reports and repair progress; not internal notes or labor figures).
• Service providers — hosting (Vercel), database (Neon), payments (Stripe), AI (Anthropic), and email delivery, each processing data only to provide their service.
• Other companies — never. Company data is isolated at every layer.

Photos and documents

Photos and uploaded documents (including license cards and insurance certificates) are stored in our database and served only to authenticated users entitled to see them.

Retention and deletion

We keep records for as long as your account is active, because the value of the Service is a property’s history persisting over time. You can request export or deletion of your company’s data at any time and we will action it within a reasonable period, subject to any records we must retain by law.

Security

Passwords are stored as salted hashes. Sessions are signed. Access is scoped per company and checked on every request. No system is perfectly secure; during beta especially, please avoid storing information more sensitive than the work requires.

Your choices

You can update your account details in the app, change your password at any time, and ask us to export or delete your data. Contact details are on the Help page.
